Setting up your flight school

Activate your school workspace, create your owner account, and invite your first staff member.

A Checkride school workspace is created from a one-time onboarding link issued by our team. The link creates a brand-new organization in school mode and assigns you as the owner.

Before you start

You'll need:

  • The onboarding link we sent you. It includes a token tied to your email address.
  • Your school name (used on receipts, endorsement letterheads, and the student portal).
  • The timezone your school operates in, so schedule blocks and appointment times display correctly.

The onboarding link is single-use. Once you redeem it, it's burned even if you abandon the form halfway through. Email us if you need a fresh one.

Activate the workspace

  1. Open the onboarding link. You'll land on a page that confirms the email it was issued to.
  2. Pick Flight school as the organization type (the alternative is a personal CFI workspace, which doesn't carry seats or fleet).
  3. Set your school name, timezone, and the primary location (an airport identifier — ICAO or local).
  4. Submit. You'll land on the school dashboard.

The workspace is now live. Your subscription starts in trial state until billing is activated — see Activating your school's subscription.

Invite your first staff member

From the school dashboard, open Members → Invite. The two roles that can manage scheduling and approve logbooks are:

  • Chief instructor — Full admin rights short of deleting the workspace.
  • Instructor — Can manage their own schedule, approve their students' logbooks, and issue endorsements.

Other roles (dispatcher, mechanic, student) are available too, but you'll usually want to start by adding a chief instructor so the workspace isn't one-deep on day one.

See Inviting instructors for the email and join-link flows.
