Activating your school's subscription

Move from trial to active billing, pick a plan, and understand what triggers a billing-required gate.

Every new school workspace starts in a trial subscription state. You can use almost every feature for evaluation, but mutating endpoints — inviting members, scheduling lessons, managing the fleet — are gated to active billing.

Plan options

Plans are tiered by seat count. The student/instructor seats included in the plan determine how many billable memberships you can have active at once. See Understanding seat limits for which roles consume a seat.

The plan picker lives at Settings → Billing → Change plan. Switching plans takes effect immediately; we prorate the current cycle.

Activating

  1. Settings → Billing → Activate.
  2. Pick a plan.
  3. Stripe collects your school's payment method (card or ACH).
  4. Subscription status flips to trialing (if your trial period isn't exhausted) or active (if it is).

The mutating-actions gate clears the moment status hits active or trialing. No restart needed.

What "billing required" actually blocks

When your subscription isn't in an active state, you'll see a banner across the school portal. Specifically blocked actions:

  • Inviting new members (instructors or students)
  • Creating join links
  • Scheduling lessons (both school-admin and CFI-self endpoints)
  • Updating lessons or aircraft reservations

Read endpoints stay open. You can still see your roster, your fleet, past lessons, and historical reports. We don't want a billing lapse to lock you out of your own data.

If your subscription goes inactive (failed payment, manual cancellation), you have a grace window to fix it before mutating actions are blocked. The exact length depends on Stripe's state — usually 7 days for a failed charge before status becomes past_due.

Annual vs monthly

Annual plans are billed up front and carry a discount over monthly. Switching mid-cycle credits you for the unused portion of the current term and starts a new term. Switching from annual to monthly mid-term is possible but the credit is applied to the next monthly invoices rather than refunded.

Cancelling

Settings → Billing → Cancel subscription. Cancellation is effective at the end of the current billing period. Until then your access is unchanged. After:

  • The workspace flips back to trial-ended state.
  • Read access is preserved indefinitely for your own data.
  • Mutating actions are blocked.

If you want to permanently delete the workspace and all its data, contact support — that's not a self-serve action.
