Inviting instructors to your school
Send email invites, share a join link, and pick the right role for each CFI you bring on.
There are two ways to add a CFI to your school workspace: a tokenized email invite tied to a specific address, or a shareable join link that any signed-in user can redeem.
Picking a role
| Role | Can do |
|---|---|
| Owner | Everything, including deleting the workspace. Limit to one or two people. |
| Chief instructor | All admin actions short of workspace deletion. Manages billing, members, fleet. |
| Instructor | Manages their own schedule, approves their students' logbooks, issues endorsements. |
| Dispatcher | Schedule visibility + minor edits without grading authority. |
| Mechanic | Aircraft maintenance and document tracking. Not part of training scope. |
You can change a role later from Members → ⋯ → Change role.
Send an email invite
- Members → Invite.
- Enter the CFI's email and pick a role.
- Send. They'll receive a tokenized link from
support@trycheckride.com. - When they click the link, they'll either sign in to an existing Checkride account or create one — and the invite auto-joins them to your school in the role you picked.
Email invites are tied to the address they were issued to. If a CFI signed up with a different email, the invite won't redeem. Re-send to the correct address.
Share a join link
For onboarding events or when you don't have email addresses in hand:
- Members → Join links → Create.
- Pick the role (you can have multiple links if you want a CFI link and a separate student link).
- Copy the URL. Anyone who is signed in and opens the link will be added to your school in that role.
Join links can be revoked at any time. Existing memberships aren't affected.
What counts against your seat limit
- Active instructor, chief instructor, and student memberships count against your plan's seat allowance.
- Owner, dispatcher, mechanic, and observer roles don't.
