Suspending and reactivating memberships

Take a member off the active roster without losing their history.

When a CFI or student leaves your school, you have three options: suspend, archive, or remove. They're not the same.

Suspend

A suspended member retains all their data and history but can no longer sign in to your school's context. Their lessons, logbook entries, and endorsements remain queryable; their seat is freed.

When to suspend:

  • A student takes a leave of absence.
  • A CFI is between contracts.
  • You're investigating a policy issue and want to pause access.

Members → ⋯ → Suspend. The member gets a one-time "Your membership has been suspended" notification. Their data is read-only from the platform's perspective until you reactivate.

Archive

Archive is irreversible-ish: it freezes the membership permanently for reporting, but the member won't appear in any active roster, dropdown, or AI briefing. Use this for departures you're confident are permanent.

You can still reactivate an archived membership later if needed — it just doesn't show up by default.

Remove

Removal deletes the membership record. Their personal Checkride account remains, and any work they did (e.g., approved logbooks) stays — those records still need to attribute the action to someone, so they retain a reference to the user. Use removal sparingly; suspend or archive is usually the right call.

Removing a CFI doesn't delete any logbook entries they approved. Audit trails for FAA review require us to keep the signing CFI's identity on the record.

Reactivating

Members → Suspended (filter) → ⋯ → Reactivate. The member regains access immediately and the seat goes back on the books. If you don't have a free seat, you'll be prompted to upgrade your plan first.

Frequently asked

Does a suspended student's logbook stay accessible to them? Yes, but only via their personal account, not via your school's portal. They retain their own data.

Does a suspended CFI's outstanding settlements still pay out? Yes. Suspension affects platform access, not financial obligations.
